1. Presentation
This privacy policy (the “Policy”) explains how Voyages Unwritten inc., based in Québec, Canada, collects, uses, discloses, retains and protects your personal information. It also outlines your rights and how to contact us to exercise them.
We operate under the name Voyages Unwritten in French and the brand Unwritten Travel in English. Both names refer to the same company (“we”, “our” or “us”).
The Policy applies to unwrittentravel.com (the “Site”) and to personal information processed in connection with our services, from the initial inquiry through travel planning, bookings and follow-up. Additional details and requests for required consent may also be provided as part of our client process.
2. Collected Information
We may collect your name, contact details, travel dates and destinations, budget, information about travellers, preferences and any information you choose to provide to us.
For bookings, other necessary information, including your date of birth or passport details, may be requested as part of our client process.
For discovery call, we may collect your scheduling preferences, communications relating to the meeting and notes about your inquiry. With your prior consent, we may use Fathom during a Google Meet call to record audio and video, produce a transcript and prepare a summary or notes using artificial intelligence.
Technical information may include your IP address, browser and device type, dates and times of access, referring pages, pages viewed and interactions with the Site. Some of this information may constitute personal information even if it does not include your name.
As part of our client process, we may also collect information necessary for billing and payment authorizations, including through TravelJoy.
Please do not submit passport copies, payment card information or sensitive health information through the initial inquiry form. We collect only the information necessary for the stated purposes. If someone else provides information on your behalf, they must have the necessary authorization.
3. Collection of Personal Information
We collect information when you visit the Site, submit an inquiry through the TravelJoy form embedded in the Site, schedule an appointment through Calendly, communicate with us by email or other means, or participate in a discovery call on Google Meet.
When you submit the embedded form, the information you provide is processed and stored in TravelJoy and sent to us by email. You can complete this form without leaving unwrittentravel.com. We use this information to respond to your inquiry and follow up.
If you agree to recording and automated transcription, Fathom also processes the meeting content and related participant information for that purpose. This tool is not used to record your call without your prior consent.
We collect the information you submit in our form to understand your travel needs, respond to your inquiry and follow up. Required fields are identified in the form.
4. Consent
When you provide us with personal information, we use it to respond to your inquiry and follow up. If you engage our services, we explain the uses and disclosures necessary to arrange your trip and obtain the required consent as part of our client process.
If we wish to use your information for another purpose that requires your consent, we will ask you for it.
We ask for your consent before recording or transcribing a call with Fathom. You may decline and still participate in the call.
5. Use
5.1 Responding to Inquiries and Arranging Appointments
We use your information to respond to your inquiries, schedule appointments and, when you engage our services, plan and book your trips. No payments or bookings are made directly on the Site.
5.2 Understanding Your Needs and Preparing Notes
The information we collect helps us understand your needs and preferences, suggest suitable trips and services, and support you before, during and after your stay. This includes answering your questions and following up on requests relating to planning, bookings and payments, including by email, telephone or social media.
We may use artificial intelligence (“AI”) to facilitate certain interactions, draft communications, prepare itineraries and produce notes or summaries. With your consent, Fathom may also record and transcribe our calls. These tools may make errors or exhibit biases; we review the content they produce to check its accuracy and relevance. Personal information processed using these tools is protected in accordance with this Policy.
5.3 Improving the Site and Analytics
We use the technical information necessary to operate the Site and diagnose problems. Cookies are small files stored on your device; related technologies may also support Site functions or measure usage. Google Analytics is an optional tool for understanding Site usage and improving content. Depending on its configuration, it may process online identifiers and information about devices, pages viewed and interactions. This information is not necessarily anonymous.
You may also manage or delete cookies through your browser settings. These settings do not replace consent controls required by law.
5.4 Communications and Personalization
We communicate primarily by email to respond to inquiries, follow up, confirm instructions and maintain a written record of our exchanges. We use the preferences you provide to tailor our communications to your needs.
With the consent required under applicable personal information protection laws, we may also use your email address to send you newsletters, travel ideas, news and offers. These promotional emails are sent only when we have express consent or valid implied consent under Canada’s anti-spam legislation.
5.5 Security and Compliance
We use the information necessary to maintain security, prevent misuse, protect rights, handle privacy requests and complaints, and meet our legal obligations.
6. Sharing of Information
We may disclose necessary information to providers that help us operate the Site, manage inquiries and appointments, communicate with you, process payments and use artificial intelligence tools.
If you engage our travel planning and booking services, we may disclose the information necessary to arrange your trip to our host agency, Travel Edge (Canada) inc., and to the relevant travel suppliers, including hotels, airlines, cruise lines and local partners. Depending on the service, this information may include your name, contact details, date of birth and passport details. The purposes of these disclosures and any required consent are addressed when your client file is opened and during the booking process.
These service providers and travel suppliers may be located outside Québec or Canada, including in your destination country. Your information may therefore be subject to the laws of those jurisdictions. Transfers are subject to applicable personal information protection requirements. Travel suppliers may also process information in accordance with their own privacy policies.
We may also disclose personal information when permitted or required by law. We do not sell your personal information.
7. Retention of Personal Information
We retain personal information for as long as necessary for the purposes described in this Policy and to meet applicable legal requirements.
Where appropriate and with your consent when required, we retain relevant information in your client profile, including your contact details, preferences and travel history, to maintain our relationship and facilitate future travel arrangements. Retention periods vary depending on the type of information and the purposes for which it is used.
When personal information is no longer necessary and no legal requirement justifies retaining it, we securely destroy or anonymize it in accordance with applicable law.
8. Corrections and Withdrawal of Consent
